Dear AT&T Customer Care,

I’m writing to you, as a follow-up to three calls previously placed to your Customer Service Dept., one of which was cut short by a hang-up by your Customer Service Rep, named Sue today, July 27, 2010, at approximately 3:00PM.

As previously explained, there seems to be a discrepancy in my cell phone charges for the month of June 2010.  The total on the bill reflected a $159.00 charge towards over-limit texts sent for the month, although I have an unlimited text message plan set up in my account.  The $19.99 charge for the unlimited text message service is also included in the total amount due, in addition to the $159.00 extra charge.

When I tried explaining the overcharge situation the first time I called on July 19, 2010, I was told that I would receive a follow-up call the next business day from a member of your Billing Dept.  After waiting 2 business days, I called again and asked to be transferred to the Billing Dept., as per the previous conversation, and was told that the issue wasn’t something that the Billing Dept. would handle.  By this point, I was confused so I asked to be transferred to a manager and was told by your rep. named Cindy that it wouldn’t be possible to be transferred,  When I asked why, she replied that every one was “at lunch.”  Frustrated now AND confused, I asked if I could leave a message to have a Customer Service Manager return my call.  She presumably took down my information and told me that I’d receive a call back by the end of the day.

I waited until the beginning of the following week to call back again.  When I finally got patched through (after waiting on hold for 20 minutes), I spoke with Sue.  Once again, I explained the overcharge and requested a reversal of the erroneous charges from my account.  She replied that it “doesn’t work that way” and advised me to pay the total charges, as stated on my bill, and the extra charge would be credited back to my account on my July 2010 bill.  I replied that that made no sense and that I wasn’t paying my June 2010 bill at all until I received an updated bill, reflecting the correct charges with a corrected total.  Sue let me know (in no uncertain times) that if I failed to pay my June 2010 bill, I would incur a late payment fee to my account and within three weeks’ time of nonpayment, my account would be suspended.  I assured her that I would then send payment for the total listed minus the $159.00 charges.  Sue said that would be considered an incomplete payment and the same penalty would result as nonpayment.

When I finally got around to asking again to speak with a manager, Sue hung up the phone on me.  Throughout the entirety of our call, Sue actually seemed annoyed to be talking with me.  Her demeanor seems in every way ill-suited for a customer service position.  She was rude, impatient, and cut me off mid-sentence about three times.

I have done everything in my power to contact your company regarding YOUR mistake to my bill.  I’ve spent over 2 hours trying to straighten out this fiasco so I can pay the actual total of my bill on time.  Having never missed a payment to my account or made a late payment before, I am a good customer for AT&T.  Of late, your customer service seems to be just as bad as your cell phone coverage.

I look forward to hearing from a management member of Customer Care soon and an updated June 2010 bill, reflecting CORRECTED total charges to my account.  I absolutely refuse any “late fees” associated with “non-payment” to my account until I’ve heard from a Customer Care manager directly.

I am writing to complain about the poor service that was rendered to me at your esteemed establishment on August 22, 2010, at about 8 pm. Before my arrival at your restaurant that evening, I had already made a reservation for a party of 6. My reservation was at 7 pm, and my party and I arrived at 6.50pm. We were made to wait for an hour before we were seated.

The table seating was meant for a party of 4, so my party and I were pretty cramped. The service was slow, and no apologies or reasons for the delay in our food were given. The manager was nowhere in sight.

I was greatly disappointed at the bad service at your establishment which was recommended by a friend. It was certainly a bad first experience.

I hope you shall take the appropriate actions to ensure no repeat of such a bad experience to your guests.

Complaint letter is a type of letter which is written when something wrong or bothersome is required to be brought to people’s attention. Therefore, it is very important to follow a set of guidelines to make sure that this letter points out the issue or problem at hand without sounding whiny and childish. The letters that this write-up talks about are not specific to any domain or industry; these can be written by people, institutions and even organizations. Be it a newspaper article that has hurt your feelings or a Government plan that you don’t approve of or even an event that you don’t think is being conducted in the right manner, complaint letters can cover a plethora of issues. Not only that, such letters can be both closed and open; while a closed letter is available only to the addressee, an open letter is addressed to one person but is presented via such a medium that is open for all. Common examples of open letters can be found on internet blogs and newspaper editorials etc. These are often addressed to people in power like the president or prime-minister etc. Irrespective of the addressee, however, such letters have an etiquette that must be known and followed by all. The following section sheds some light on how to write a complaint letter.

Tips On Writing A Complaint Letter

Clearly mention the facts explaining the reason of writing the letter. Explicate the problems which you are undergoing and mention the names of the people involved. Make sure you have sufficient proof for naming these people or else this letter and the underlying accusations might just backfire. Always stick to the point and mention the problems openly and truthfully. Do not talk about your assumptions in the beginning of the letter; there would be ample time in the second half of the letter for that. Understand that you are complaining to the addressee because s/he is in a position to help you so don’t get informal; maintain the professionalism and make sure that your letter is error-free. After mentioning the issue/problem, write about all that you have done so far to deal with the problem at your end. This would convey your commitment to the people you are writing to. Follow up the explanation of the problem and your efforts so far with a possible course of action that can be taken to deal with the issue. Try being realistic here as the recipients may not be as vindictive as you are. Do not use very complex language in framing this letter. Just like every other letter, even a complaint letter must be kept very simple, precise and appropriately descriptive. Always sum up your complaint letter with a very formal “Sincerely” or “Yours Sincerely” followed by your name, contact number and other details relevant to get back to you when the complaint is acted upon. Preparations Preceding A Complaint Letter

Before writing a complaint letter, ensure that you have the appropriate facts for complaining. Edit the letter after writing and also use spellchecker to make your complaint letter error-free. Keep one copy of the complaint letter for your records. If you don’t get a positive response then write another letter by putting emphasis on your subject in a firmer tone or write to some other senior person in that particular department or the organization.
